STAFF – MAJOR AREAS OF RESPONSIBILITY

 

 

Management and Business Operations:

 

Beverly McNeil, Management Services Officer, 2-2978, beverly@math.ucr.edu

-         Reports directly to the Department Chairman, and has direct responsibility for the following management and administrative support functions:  (1) staff personnel administration, including the Student Affairs Center; (2) academic personnel administration; (3) long-range planning (budget, space, equipment, etc.); (4) financial management (Department and Research); and, (5) general departmental support functions (accounting, payroll, purchasing, etc.).

-         The Department of Mathematics is a large-sized academic instruction and research department. At the present time there are 24 ladder-rank faculty, 9 Emeritus (includes one recall professor), 10 temporary faculty (VaPs), 42 teaching assistants, 20-24 lecturers, and 6 staff personnel, along with 2-3 other casual employees that work for specific professors. Approximately 25-30 readers and 2 student assistants are also hired each quarter. The Department had 13,933 students enrolled in Math classes during the 2003-04 year. The graduate program has 49 Mathematics majors; the undergraduate program is expecting 253 Mathematics major at the start of Fall 2004.

 

Teresa Cross, Accounting/Payroll Assistant, 2-5002, teresa@math.ucr.edu

-         Performs a full range of accounting duties for maintaining and monitoring department budgets, reviews and reconciles general ledgers, prepares monthly spreadsheets/financial statements, reviews appropriateness of expenditures, availability of funds and applicable funding restrictions. 

-         Prepares various accounting on-line forms in a timely manner, and provides follow-up with various campus offices as needed.

-         Assists with the purchase of office equipment and related supplies for faculty and staff using on-line purchasing and sub-purchasing systems.  Orders audiovisual equipment as requested, using an on-line system.

-         Processes payroll/personnel system on-line transactions for all Department faculty, staff, lecturers, teaching assistants, readers and other personnel.  Prepares payroll and personnel forms as needed.

-         Benefits Advisor for the department, and also maintains the Department’s inventory records using an on-line inventory data base, tracing current locations of equipment, and preparing forms as needed.  Completes the semi-annual physical inventory.

 

Adele LaPorta, Academic Personnel Coordinator, 2-7349, adele@math.ucr.edu

-         Responsible for the administration of the Department’s academic personnel process, which includes the preparation of and completion of all academic merit, promotion, appraisal, career reviews, quinquennial files, etc.

-         Ensures that all files are prepared according to university policies, procedures, and guidelines, and are submitted within established deadlines.

-         Acts as lead person for Departmental visiting assistant professors (VaPs) and scholars and visa preparation and processes, and works with the International Services Center as needed.

-         Responsible for the recruitment of all temporary and permanent academic positions.  Develops and maintains appropriate computer databases for the tracking of applicants, and develops master lists for search committee use and affirmative action reports.

-         Responsible for sabbatical and faculty leave eligibility, plus form and report submission.  Maintains faculty sabbatical leave credits.

-         In the absence of the Accounting/Payroll Assistant, acts as back-up PPS transactor and reviewer.

 

Ashwin Nair , Academic Personnel Assistant, 2-2586, ashwin@math.ucr.edu

-         Assists the Academic Personnel Coordinator with the academic personnel process. Includes the preparation of and completion of all academic merit, promotion, appraisal, career reviews, quinquennial files, etc.

-         Assists the Academic Personnel Coordinator with recruitment of all temporary and permanent academic positions. Develops and maintains appropriate computer databases for the tracking of applicants, and develops master lists for search committee use and affirmative action reports.

-         Prepares Requests for Visiting Scholars and prepares Visa documents for International Services.       

-         Assists Academic Personnel Coordinate with sabbatical and faculty leave eligibility.

-         In the absence of the Accounting/Payroll Assistant, acts as back-up PPS transactor and reviewer. Assists with general clerical duties as needed.

 

Student Affairs Center:

 

Melissa Gomez, Student Affairs Supervisor, 2-7378, Melissa@math.ucr.edu

Administrative

-         Manages & supervises the Front office area for the Mathematics Dept, including hiring and training of Undergraduate Student Affairs Assistant, Receptionist, and Student Assistants.

Graduate Student Affairs

-        Oversees the administrative aspects of Department’s undergraduate and graduate programs. Maintains graduate student files and notifies Graduate Advisor of each student’s progress, prepares mailings of recruitment materials to perspective graduate students and other colleges, and schedules appointments and meetings for Graduate Advisor.

-         Posts TA teaching schedules, office hours, office assignments, and contact information, distributes and maintains TA teaching evaluations, and submits course and program changes for graduate program.

General

-         Maintains the departmental website.

 

Position Open, Student Affairs Assistant, 2-3805

  Student Affairs

-         Maintains all undergraduate student files for majors in coordination with the CNAS Student Affairs office. Creates and disseminates all printed materials for undergraduate program.

-         Represents Department at all undergraduate outreach events, plans special seminars/workshops for undergraduate students to assist in planning for post-baccalaureate plans, submits and processes all program and course changes for undergraduate programs.  Manages the quarterly Schedule of Classes, and projects enrollment figures for each quarter.

     General

-       Maintains room reservations for Department’s conference Rooms, and provides back-up for the receptionist.

-         Maintains the Grade Rosters, and distributes the faculty teaching evaluations.

-         Responsible for hiring and training of Readers for each academic quarter

-         Maintains and orders textbooks.

-         Maintains student affairs bulletin boards, and posts the Department’s weekly calendar of events on Bulletin Boards.

Position Open , Administrative Assistant, 2-3113

     General

-         Manages front office counter and the security of office doors, provides general information and referrals to students, faculty, staff and the general public.

-         Maintains and distributes the department’s keys.

-         Prepares letters and memos per request of faculty members.

-        Maintains Record keeping of Department’s library, maintains and orders office supplies and machines, and distributes textbooks.
